About the role

Accountabilities:

    • Lead material-handling activities and procedures for assigned site projects, ensuring equipment and materials are properly received, inspected, controlled, stored, preserved, and transferred to construction teams or subcontractors.
    • Verify shipments against master shipping lists and individual packing lists, identifying missing, damaged, or incorrect items and documenting findings with photographs, drawings, and detailed inspection records.
    • Establish and maintain systems for material receipt, inventory, storage, release, stock control, and accessibility in coordination with project teams and erection subcontractors.
    • Ensure materials are stored and preserved according to packing-list requirements, manufacturer recommendations, company specifications, and applicable industry standards.
    • Monitor logistics from ports, airports, warehouses, and other locations to project sites, including temporary import and export requirements where applicable.
    • Procure local supplies and consumables as directed by project management and in accordance with established procedures.
    • Maintain inventory visibility and ensure logistics boxes and equipment remain aligned with installation schedules and project requirements.
    • Maintain complete documentation for deliveries, inspections, preservation activities, damages, missing components, daily events, and material-related claims or disputes.
    • Provide regular updates to site leadership regarding missing or damaged materials and coordinate follow-up actions to support timely replacement or resolution.
    • Participate in inspections, site meetings, and project coordination activities while maintaining compliance with environmental, health, and safety requirements.
    • Manage required site documentation, containment records, reports, correspondence, and administrative files.
    • Support project managers and site managers with workforce administration, including time-sheet collection, work-hour tracking, personnel documentation, and scheduled or ad hoc operational reporting.
    • Support site procurement, purchasing, invoice tracking, petty cash administration, monthly billing summaries, and maintenance of financial and purchasing records.
    • Coordinate accommodation and travel arrangements for new expatriate staff and site management personnel and assist with visa-related processes when required.
    • Coordinate equipment and material transportation from warehouses and maintain associated shipping documentation.
    • Maintain administrative supplies, purchase orders, calendars, correspondence, and filing systems while supporting day-to-day site office operations.
    • Ensure local authority requirements and applicable site procedures are understood and followed in coordination with site leadership.
    • Perform additional duties as required to support project execution, operational efficiency, and field service objectives.
    • Requirements:

      • Higher Diploma or bachelor’s degree, preferably in Engineering, Construction, Project Management, or a related discipline; significant relevant project management, engineering, or construction experience may also be considered.
      • 5+ years of professional experience in project management, project coordination, engineering, construction, or a related field.
      • Strong practical understanding of field-service processes, project coordination, material management, and site operations.
      • Experience coordinating materials, equipment, contractors, suppliers, logistics, or construction activities in complex project environments.
      • Strong organizational and administrative skills, with the ability to maintain accurate records, schedules, inventories, reports, and documentation.
      • Excellent English proficiency with strong written and verbal communication skills.
      • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Access.
      • Strong problem-solving skills and the ability to identify issues, investigate discrepancies, and drive them toward resolution.
      • Ability to work independently, prioritize competing demands, and maintain attention to detail in a fast-paced field environment.
      • Strong interpersonal and customer-service skills, with the ability to collaborate effectively with project teams, contractors, subcontractors, suppliers, and site leadership.
      • Self-motivated, dependable, adaptable, and comfortable taking ownership of assigned responsibilities.
      • Willingness and ability to travel for long-term project assignments.
      • Flexibility to work weekends, holidays, overtime, and other non-standard hours when required by field operations.
