About the role
Accountabilities
- Support proposal teams consisting of marketing professionals, pursuit and proposal managers, client managers, project managers, and subject matter experts in developing proposals, shortlist interviews, and professional presentations.
- Manage major components of multiple proposal efforts simultaneously across target markets, service offerings, and client pursuits.
- Develop a strong understanding of individual pursuits, client requirements, and competitive considerations to proactively recommend improvements to content, strategy, and processes.
- Coordinate proposal efforts across multiple offices and service lines, including integrated Civil, Structural, Architecture, MEP, Technology, and other multidisciplinary teams.
- Develop and coordinate a wide range of proposal formats, including SF330s, design-build submissions, technical narratives, pricing and business proposals, RFQs, RFIs, Sources Sought responses, and oral presentations.
- Support capture planning through proposal drafting, content development, data management, documentation, editing, deadline tracking, and coordination with subject matter experts, project managers, and external partners.
- Lead major proposal sections or volumes, including subconsultant proposal packages, ensuring content is complete, accurate, persuasive, and compliant.
- Lead proposal kickoff meetings, review sessions, and relevant client management or business development meetings as needed.
- Write and edit proposal and sales materials, including project descriptions, resumes, market segment overviews, cover letters, executive summaries, and related collateral.
- Coordinate subconsultant data calls and ensure required information is collected, reviewed, and incorporated on schedule.
- Maintain consistent corporate standards across proposals, resumes, presentation graphics, and marketing collateral.
- Perform thorough QA/QC reviews of proposals and marketing materials to ensure accuracy, consistency, compliance, and professional presentation.
- Support internal and external marketing communications, including conference preparation, blog and article development, and client presentations.
- Build familiarity with organizational project experience and identify relevant capabilities and past performance for current pursuits.
- Support client management and business development teams through market research, competitor analysis, client intelligence, and conference preparation.
- Maintain accurate marketing information, CRM records, shared files, and proposal resources to ensure materials are organized and readily accessible.
- Bachelor’s degree in Marketing, Communications, Design, or a related field, or equivalent professional experience in AEC marketing.
- 6+ years of AEC industry experience, including direct responsibility for producing proposals and managing proposal efforts.
- Federal proposal experience is strongly preferred, particularly experience with SF330s, design-build, technical narratives, RFQs/RFIs, Sources Sought responses, and oral presentations.
- Exceptional written and verbal communication skills, with the ability to transform complex technical information into clear and persuasive content.
- Strong project management, organizational, planning, and resource coordination skills, with the ability to manage multiple concurrent assignments and overlapping deadlines.
- Highly self-motivated and capable of working independently while collaborating effectively with multidisciplinary and geographically distributed teams.
- Advanced proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint.
- Strong experience with Adobe InDesign and Acrobat; familiarity with Photoshop, Illustrator, and other Adobe Creative Cloud applications is a plus.
- Knowledge of database and CRM platforms, particularly Deltek Vision and/or Vantagepoint, is desirable.
- Strong proposal coordination capabilities, including attention to detail, problem identification and resolution, deadline management, and quality control.
- Excellent interpersonal skills and a demonstrated ability to build productive relationships with marketing, technical, project management, and business development professionals.
- Strong understanding of proposal processes, content development, client requirements, and professional services marketing.
- Willingness to work overtime when necessary to meet business and proposal deadlines.
- Ability to travel occasionally to offices, meetings, and other business activities as required.
- Valid driver’s license, good driving record, and ability to successfully complete a driving record background check.
- Must be authorized to work in the United States without new employer sponsorship.
- Salary: Projected annual range of $74,000–$96,000, with actual compensation varying based on skills, experience, location, market conditions, and other relevant factors.
