About the role
We are seeking a highly organized, proactive, and adaptable Executive Assistant to support members of our Executive Leadership Team. As the company’s second EA, this individual will act as a trusted partner to the partner EA and senior leaders - anticipating needs, driving priorities forward, and ensuring seamless day-to-day execution. The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced environment where no task is too small, ownership is essential, and polish and precision are expected.
Our Executive Leadership team has been growing and as a result, we now need a second Executive Assistant to support the team. This role reports into the Chief People Officer and will provide support to half of the ELT, up to 4 people. Based on the locations of the ELT, we are ideally targeting a candidate who is in the Central or West Coast time zone.
In this role, you will be expected to:
- Manage complex calendars, including scheduling meetings and appointments for the ELT members, optimizing their time and priorities
- Meeting support as needed, e.g. prepare and distribute meeting agendas and materials, and follow up on action items to ensure timely completion
- Serve as point of contact for internal and external stakeholders who need to meet with the ELT, demonstrating professionalism and diplomacy in all interactions
- Conduct research for meeting preparation such as preparing bios of meeting participants
- Minimal travel arrangement coordination but when it is needed it will, include flights, accommodations, and transportation, ensuring seamless logistics when traveling
- Handle sensitive and confidential information with the utmost discretion and maintain confidentiality at all times
- Anticipate the needs of the ELT and proactively identify opportunities to streamline processes and improve efficiency
