About the role
Accountabilities
- Support monthly project accounting activities, including leading selected project status meetings and maintaining accurate financial trackers and updates.
- Review and reconcile new projects by verifying required approvals, revenue classifications, contractual details, Salesforce information, milestones, tasks, and applicable intercompany amounts.
- Review change orders, budget adjustments, carve-outs, and project milestone updates, following up with project leaders to resolve discrepancies.
- Set up new clients within accounting systems and files, including employee billing rates, mappings, and contractual rebates or discounts.
- Review intercompany revenue and cost transactions, maintain shared financial trackers, and support intercompany contract execution and cost allocation activities.
- Assist with revenue recognition and ensure project revenue is recorded in accordance with applicable client contracts, including new awards and out-of-period revenue adjustments.
- Prepare monthly project revenue forecasts and analyze performance against budgets and plans.
- Investigate project hours and expenses, reviewing them against forecasts, assigned roles, billing rates, budgets, and information supplied by project leaders.
- Prepare and review client invoices based on contractual requirements, follow up on past-due balances, and maintain invoicing waterfalls where required.
- Review and submit monthly client accruals and consolidate accrual information across relevant entities.
- Review business development opportunities in Salesforce and ensure information remains consistent across financial schedules and internal tracking systems.
- Analyze project costs against contracted amounts and review direct costs shared across projects or clients.
- Set up and track new employees and, where applicable, subcontractor hours, expenses, billing rates, forecasts, and budgets.
- Review expense reports, invoices, and credit card transactions to ensure accurate coding, appropriate approvals, and correct allocation to billable projects.
- Identify, allocate, and review intercompany transactions while supporting accurate financial reporting.
- Assist with annual budget preparation, including applicable profit-and-loss budget line items and ad hoc financial projects.
- Prepare and reconcile supporting documentation for annual audits and assist with monthly close activities and related reporting materials.
- Contribute to the development and implementation of policies, procedures, and workflow improvements that increase the efficiency and effectiveness of the finance function.
- Provide guidance to junior team members on client finance best practices and support their professional and career development.
- Bachelor’s degree with a concentration in Accounting, Finance, Business, or a related discipline.
- At least 3 years of relevant accounting or finance experience.
- Intermediate to advanced Microsoft Excel skills, including the ability to analyze, organize, reconcile, and report on financial data.
- Experience with project accounting, month-end close, revenue recognition, or client-facing financial operations is preferred.
- Experience within an agency, professional services, consulting, or comparable client-service environment is a plus.
- Strong analytical, interpretive, critical-thinking, and problem-solving capabilities, with the ability to process large volumes of qualitative and quantitative information.
- Strong understanding of financial controls, project budgets, revenue, costs, billing, forecasting, and reconciliations.
- Excellent organizational and time-management skills, with the ability to manage multiple priorities and consistently meet deadlines.
- Exceptional attention to detail and a high level of personal accountability when handling financial information.
- Strong client-service mindset, including professional communication, responsiveness, mutual respect, and relationship building.
- Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders at all levels of an organization.
- Ability to establish credibility and maintain productive relationships with both internal and external stakeholders.
- High degree of integrity and discretion when working with confidential or sensitive financial information.
- Self-motivated, proactive approach with a willingness to support colleagues and take ownership beyond core responsibilities when needed.
- Demonstrated curiosity and a strong desire to learn, develop, and grow within a dynamic financial environment.
- Estimated salary range of $83,000–$105,000 USD, with actual compensation influenced by skills, experience, training, certifications, location, and business needs.
