About the role

Accountabilities:

    • Own the end-to-end annual rent increase and lease renewal process, from planning and scheduling through implementation and follow-up.
    • Build and maintain renewal and rate-increase calendars, coordinating timing with lease expirations, occupancy objectives, and financial targets.
    • Program, validate, and audit approved rent increases and renewal information within property management systems.
    • Manage renewal notices and documentation, ensuring accurate delivery and compliance with applicable state-specific legal requirements.
    • Track notice periods, delivery requirements, rent increase limitations, required disclosures, lease expirations, and renewal triggers across a multi-state portfolio.
    • Conduct periodic audits to maintain data integrity, renewal accuracy, and regulatory compliance.
    • Partner with Community Managers and regional leadership on renewal and non-renewal decisions, resident retention challenges, and operational issues.
    • Analyze renewal acceptance, turnover, retention, delinquency, occupancy, and pricing trends to identify opportunities for improvement.
    • Coordinate non-renewal workflows, documentation, communications, move-outs, and turnover readiness.
    • Maintain and provide reporting on renewal performance, rent increases, occupancy, collections, retention, compliance, and portfolio trends.
    • Communicate upcoming renewals, deadlines, compliance requirements, and operational concerns to relevant stakeholders.
    • Identify opportunities to standardize, streamline, and automate renewal workflows across communities.
    • Stay current on landlord-tenant regulations and manufactured housing compliance requirements across applicable states.
    • Provide renewal performance insights to leadership and support portfolio-level operational and financial decision-making.
    • Requirements:

      • 3+ years of experience in multifamily, manufactured housing, or residential property management, with direct experience managing renewals, rent increases, or lease administration.
      • Strong knowledge of multi-state landlord-tenant requirements, including notice periods, delivery rules, rent increase restrictions, and non-renewal procedures.
      • Understanding of manufactured housing lease structures, lot-rent dynamics, and the differences between resident-owned and community-owned home tenancies.
      • Experience using property management systems; familiarity with ManageAmerica is preferred.
      • Ability to program, validate, and audit renewal and rate-increase data with a high degree of accuracy.
      • Strong organizational and time-management skills, with the ability to manage complex calendars and high-volume workflows across multiple locations.
      • Strong analytical capabilities and the ability to interpret renewal, retention, occupancy, and financial performance data and turn findings into actionable recommendations.
      • Excellent written and verbal communication skills, with confidence collaborating with Community Managers, regional leaders, legal resources, and corporate stakeholders.
      • Highly detail-oriented, compliance-minded, process-driven, and responsive to time-sensitive deadlines.
      • Strong ownership mindset with an understanding of occupancy, NOI, resident retention, and measurable business outcomes.
      • Sound judgment and the ability to navigate ambiguity, edge cases, and sensitive non-renewal decisions.
      • Self-directed, adaptable, and comfortable managing competing priorities across a distributed portfolio.
