About the role

Accountabilities:

    • Manage concierge referral activities from start to finish, understanding each member’s preferences and identifying high-quality providers who meet their needs.
    • Research provider options and accurately gather information including new-patient availability, insurance participation, conditions treated, scheduling requirements, and other relevant details.
    • Present appropriate provider options to members and help guide them toward care that aligns with their needs and preferences.
    • Partner with scheduling teams to arrange appointments on members’ behalf and ensure they remain supported throughout the process.
    • Balance referral velocity, quality standards, and member satisfaction while consistently meeting or exceeding established service-level agreements.
    • Work with Records teams to help members collect and transfer relevant medical records to new providers.
    • Collaborate with Member Care, Clinical, Quality, Training, and other cross-functional teams to resolve issues and provide seamless member support.
    • Maintain accurate case information, documentation, and data across relevant systems and dashboards.
    • Develop effective organizational systems for managing multiple active cases and shifting priorities.
    • Identify opportunities for continuous improvement by questioning existing processes and recommending solutions that enhance efficiency and the member experience.
    • Communicate additional member benefits when relevant and connect individuals with the appropriate internal teams or resources.
    • Build subject-matter expertise, take on increasing responsibilities, and contribute actively to team knowledge and improvement initiatives.
    • Requirements:

      • Strong verbal communication skills, with the ability to clearly explain services to provider offices, verify availability, and understand scheduling requirements.
      • Excellent written communication skills, particularly the ability to provide concise, accurate, and informative updates to internal teams.
      • Strong attention to detail and demonstrated ability to collect, verify, and enter information accurately.
      • Excellent organizational skills and the ability to manage multiple active cases while maintaining quality and timeliness.
      • Adaptability and comfort working in fast-paced, evolving, and sometimes ambiguous environments.
      • Confidence asking questions, seeking assistance when needed, and escalating issues appropriately.
      • Strong problem-solving skills, sound judgment, and the ability to troubleshoot basic technical issues.
      • Comfort conducting internet research and evaluating information from multiple sources.
      • Proficiency with common office and productivity tools, including Google Workspace and CRM systems.
      • Ability to learn proprietary software and new processes quickly.
      • Ability to balance efficiency with a high level of customer care and service quality.
      • Collaborative mindset with a willingness to work across Care, Clinical, Quality, Records, Scheduling, and Training functions.
      • Positive attitude, sense of humor, and enthusiasm for contributing to a supportive team environment.
