About the role
Accountabilities:
- Own the end-to-end proposal process for assigned opportunities, including proposal text, quotations, budgets, RFIs, and RFP responses.
- Manage opportunities of low to medium complexity, establishing timelines, coordinating deliverables, and ensuring client requirements are met.
- Support integrated opportunities spanning multiple business units and functional service lines.
- Review and analyze RFI and RFP documentation to identify requirements and ensure sufficient information is available for proposal and budget development.
- Follow up with internal stakeholders and clients to clarify missing information and resolve requirements-related issues.
- Coordinate and facilitate strategic and operational calls related to assigned opportunities.
- Work across a matrix organization, coordinating teams across different functions, locations, and time zones.
- Liaise with third-party vendors and vendor managers to obtain required quotations, information, and supporting materials.
- Prepare accurate, high-quality proposal documents aligned with agreed strategies, client expectations, and business requirements.
- Support internal and external negotiations involving pricing, processes, resources, timelines, and other opportunity-related matters.
- Monitor deliverables and ensure proposals and responses are completed and submitted within agreed deadlines.
- Identify and resolve challenges proactively, escalating complex issues to management when appropriate.
- Maintain accurate and timely information in relevant departmental and corporate databases and systems.
- Support client-facing and senior-management activities, including meeting preparation, participation, and presentations as required.
- Maintain awareness of relevant technical and regulatory environments affecting proposals and assigned opportunities.
- Identify opportunities to improve proposal processes, efficiency, quality, and consistency of deliverables.
- Contribute to client relationship improvement initiatives and implementation activities.
- Perform quality-control activities in accordance with established processes and requirements.
- Support sales-focused inbound client visits and related activities.
- Coordinate onboarding activities for new team members in collaboration with management.
- Contribute new materials and updates to the proposal content library using established submission processes.
- Perform other related duties and responsibilities as assigned according to business needs.
- Bachelor’s degree in a relevant field or equivalent professional experience.
- Minimum of 4 years of experience in budget and/or proposal text development, or an equivalent combination of education and experience in CRO, pharmaceutical, biotechnology, life sciences, or related environments.
- Experience with proposal development within the CRO, pharmaceutical, biotechnology, or life sciences sectors is highly desirable.
- Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- Familiarity with proposal management platforms such as Salesforce, Qvidian, or proposal automation tools is preferred.
- Strong writing, editing, and document-development skills.
- Excellent customer-service mindset, attention to detail, persistence, and tact.
- Strong planning, multitasking, prioritization, and organizational skills.
- Excellent written and verbal communication skills, with the ability to interact effectively with internal stakeholders, clients, and senior leaders.
- Ability to work independently while collaborating effectively within a matrixed, cross-functional environment.
- Strong analytical and problem-solving capabilities.
- Ability to manage competing priorities and consistently meet demanding deadlines.
- Positive attitude, sense of urgency, adaptability, and willingness to work across multiple business units.
- Ability to work across international time zones, including irregular or extended hours when required to meet client deadlines.
