About the role
Position Overview
Woolpert is hiring a Proposal Coordinator to join our dynamic Proposal Department. This position reports to the Senior Proposal Manager and is responsible for supporting the proposal managers within the Aviation Industry/Market throughout the proposal process by handling key components associated with proposal development.
We are unable to provide visa sponsorship for this position. Applicants must already possess work authorization in the country the job is located.
What You Will Do:
- Support proposal managers as needed, including attendance at scheduled kick-off, review, and other pursuit meetings; attending meetings to document action items and larger strategy discussions; issuing subconsultant data calls; and managing received information.
- Complete the corporate forms required in the proposal submission.
- Provide responses to data calls from teaming partners.
- Work with technical writers to maintain toolkit content (resumes, project descriptions, boilerplate text, etc.)
- Maintain and archive image/graphic libraries through OpenAsset
- Coordinate hard copy production and shipment of final submittal, as needed
- Maintain client database through designated tools.
- Maintain consistency and storage of information
What You Will Bring:
- High school diploma and at least one year of experience in proposals, marketing, business development support, or administrative support; associates degree or higher preferred
- Proposal or related experience within the aviation industry highly preferred
- Proficient in Microsoft Office and Adobe Acrobat; experience with InDesign a plus
- Strong interpersonal skills, good judgment, and ability to communicate effectively
- Strong attention to detail and ability to prioritize multiple
- Ability to work independently as well as in a team
- Ability to anticipate, understand, and respond to internal client needs, including proposal manager, project manager, and technical subject matter experts (SMEs).
