About the role
Accountabilities:
- Lead the planning, execution, monitoring, and completion of central-level projects and Core-funded initiatives, ensuring alignment with approved timelines, budgets, scope, and strategic objectives.
- Develop and maintain comprehensive project management tools, workplans, schedules, budgets, monitoring mechanisms, and reporting processes to support effective delivery.
- Establish and promote best practices, standardized approaches, tools, and systems that improve project execution, operational consistency, and efficiency.
- Coordinate closely with technical, program management, and project team members to identify and resolve issues, dependencies, and implementation challenges that could affect delivery.
- Monitor contractual deliverables, activity budgets, project milestones, and operational commitments, escalating risks and recommending corrective actions when needed.
- Serve as an operational point of contact for selected initiatives, troubleshooting cross-functional challenges and coordinating with enterprise services such as procurement, contract management, technology, and other support functions.
- Build and maintain productive relationships with partners and stakeholders through regular communication, collaboration, and shared decision-making where appropriate.
- Contribute to activity reports, project updates, management reviews, and other materials that provide visibility into progress, risks, budgets, and outcomes.
- Support resource planning, task delegation, team coordination, onboarding, orientation, and performance-related processes to help project personnel operate effectively.
- Develop systems and processes that balance standardization, client requirements, organizational needs, usability, and operational efficiency.
- Provide project management or country-level backstopping support when required by program needs.
- Identify opportunities to improve workflows and anticipate the operational impact of process changes, helping teams adapt while maintaining project continuity.
- Apply sound judgment to complex operational problems where delays or ineffective decisions may have significant implications for project schedules, budgets, and broader activities.
- May supervise Project Officers and coordinate project plans, resources, training, and budgets with senior management.
- Bachelor’s degree or international equivalent in communication and social marketing, economic development, education, health, nutrition, research, technology, youth development, or a related field; a project management certification is strongly preferred.
- At least 8 years of relevant experience applying project management principles and practices, including at least 2 years of management experience.
- Experience working within an NGO, government agency, private organization, or comparable complex institutional environment.
- Experience in international or US-based program development or project management is preferred.
- Strong knowledge of project management methodologies, processes, systems, and project management software.
- Demonstrated ability to develop and manage complex workplans, budgets, schedules, deliverables, risks, resources, and critical paths from initiation through completion.
- Excellent written and verbal communication skills, with the ability to collaborate effectively with internal teams, external stakeholders, partners, and senior leadership.
- Strong negotiation, problem-solving, facilitation, and stakeholder management capabilities.
- Ability to influence, motivate, and coordinate people across functions and organizational boundaries.
- Demonstrated ability to work independently while partnering effectively with multiple departments and external stakeholders.
- Strong organizational skills and the ability to prioritize competing demands, adapt to changing project requirements, and maintain delivery in a fast-paced environment.
- Experience creating and managing systems and processes, with an understanding of when standardization is needed and how to balance it with stakeholder and operational requirements.
- Ability to anticipate how process changes affect people and workflows while improving efficiency and simplicity.
- Professional fluency in English is required; proficiency in a second language such as French, Spanish, Portuguese, Russian, or Arabic is an advantage.
- Ability to travel approximately 10%–25% as required.
- Comfortable working in a primarily remote, computer-based environment and using Microsoft Office 365, SharePoint, Teams/Zoom, mobile technology, and standard business systems.
- Base salary: $90,000–$110,000 USD annually for US-based hires, with final compensation determined by experience, education, skills, location, internal equity, and organizational budget.
- Retirement: Employer contribution of 7% of monthly base pay to a money purchase pension plan.
