Position Summary

The Program Officer is responsible for supporting the technical, administrative, logistical, and managerial aspects of project implementation and program development. Key responsibilities include monitoring the progress of ongoing projects, identifying funding and partnership opportunities, supporting the preparation and management of budgets and annual plans, contributing to proposal development, and compiling project and donor reports for review and submission. The Program Officer also serves as a liaison between the country offices, home office technical teams, the internal fundraising/advancement team, and other departments. In addition, the officer coordinates meetings between country and home offices, actively participates in various internal and external meetings, and leads travel planning and coordination for Burundi and South Sudan programs.

Role & Responsibilities

  • Provide oversight and monitoring of country office activities to ensure compliance with reporting requirements, metric submissions, financial processes, and other operational requirements.
  • Monitor grants, contracts, and Memoranda of Understanding (MOUs) to ensure compliance with donor and organizational requirements.
  • Organize regular check-ins between the country offices and the CEWA regional team, as well as project review meetings involving technical advisors, SED, and other relevant stakeholders.
  • Actively participate in annual project budgeting and planning processes, ensuring that all required documents are submitted on time and meet quality standards.
  • Collect monthly, quarterly, and annual internal and donor reports from country offices, review them for completeness and quality, and submit them to the Regional Director for final review and submission.
  • Collaborate with the CEWA Regional Director and Country Directors to ensure field offices are implementing programs in alignment with annual strategic plans.
  • Proactively send reminders to country offices regarding reports, budgets, home office requests, and other related deliverables.
  • Serve as a liaison between the private fundraising/advancement teams and country offices to support and coordinate fundraising efforts.
  • Lead travel planning and logistical preparations for country office visits requested by Home Office staff and visitors.
  • Support country offices and the Regional Director on matters related to Human Resources, security, stakeholder management, and other responsibilities.
