About the role
Accountabilities
- Serve as the primary point of contact for vendor registration and onboarding, tracking progress and resolving issues throughout the process.
- Coordinate vendor payments by collecting tax documentation, invoices, and other required information and ensuring submissions are complete and accurate.
- Maintain up-to-date vendor, payment, contract, and budget records while providing timely status updates to internal stakeholders and external partners.
- Build and maintain strong relationships with vendors and internal teams through clear, responsive, and professional communication.
- Support regional program coordination through ad-hoc operational initiatives, including offsite planning, virtual events, and other team activities.
- Partner with cross-functional teams to coordinate tasks, remove operational obstacles, and keep initiatives progressing toward shared priorities.
- Support leadership and program teams with administrative coordination, prioritization, and follow-through as needed.
- Identify opportunities to improve processes and systems, increasing efficiency without compromising quality or accuracy.
- 4+ years of relevant experience in a fast-paced, collaborative environment, including experience providing administrative or operational support to a team.
- Demonstrated experience with vendor management, payment coordination, and maintaining accurate operational or financial records.
- Strong proficiency with Google Workspace, particularly Google Sheets, Slides, and Docs.
- Excellent written and verbal communication skills, with the ability to communicate effectively with vendors, colleagues, leadership, and cross-functional stakeholders.
- Strong judgment and discretion, with the ability to handle confidential and sensitive information appropriately.
- Highly organized and process-oriented, with a consistent focus on efficiency, accuracy, and quality.
- Proven ability to prioritize multiple tasks, manage competing deadlines, and remain responsive in a fast-moving environment.
- Comfortable working independently while collaborating effectively across teams and supporting leadership priorities.
- Reliable, prepared, proactive, adaptable, and eager to learn new systems and processes.
- Ability to remain composed under pressure and make sound decisions when priorities shift.
- Experience working on a political campaign or public policy team is a plus.
- Compensation: $34.75–$38.90 per hour.
- Contract duration: 12-month contract, from September 22, 2026 through September 22, 2027.
- Schedule: Full-time, 40 hours per week, Monday through Friday.
