MAILODY is a growing email marketing agency working with e-commerce companies. The company has grown to 30+ employees and is planning significant expansion this year.
About the Role
You will take full operational responsibility for the finance department of a growing company. You are the internal point of contact for all financial matters and ensure that nothing falls through the cracks while maintaining high standards.
Key Responsibilities
- Accounting & Tax Advisor Management: Record and verify receipts, submit them to the external tax advisor (Austria, BMD), conduct monthly reconciliations independently, and actively ensure accounting quality.
- Invoicing & Payment Processing: Create outgoing invoices, review incoming invoices, prepare payment runs, and monitor incoming payments. Identify and resolve duplicate transfers and underfunding issues independently.
- Collections & Claims: Monitor outstanding invoices, manage structured dunning processes, prepare claims independently, and involve legal counsel when necessary.
- Payroll & HR Administration: Conduct payroll preparation independently (Germany + Austria, externally processed), serve as point of contact for payroll questions, handle personnel registrations, service contracts, time sheets, and vacation management.
- Procurement & Cost Control: Manage all procurement and actively challenge all cost positions—software, subscriptions, service providers. Maintain a critical mindset regarding expenses, evaluate alternatives, and renegotiate contracts.
- Liquidity, Reporting & Planning: Create and maintain liquidity planning, develop monthly financial reporting (revenue, costs, liquidity, outstanding invoices), prepare budget overviews and quarterly forecasts.
- Contract Management: Review new contracts from a commercial perspective, track deadlines and contract terms, and continuously document financial processes.
Required Qualifications
- Education: Bachelor's degree in business administration, finance, accounting, or completed commercial apprenticeship
- Experience: 3–5 years of operational experience in finance, ideally in an SME, agency, or service company
- Tax Advisor Collaboration: Experience working with an external tax advisor as a bookkeeping partner
