About the role
Accountabilities:
- Provide professional, empathetic, and responsive customer service throughout the client journey.
- Communicate with clients by phone, email, and messaging platforms while maintaining confidentiality and professionalism.
- Assess and triage client needs, ensuring appropriate follow-up and timely support.
- Monitor assigned immigration cases, track progress, and maintain accurate and well-organized records within case management systems.
- Draft and prepare immigration forms using Docketwise and assist with other legal documents, recommendation letters, and supporting case materials.
- Conduct legal research as directed by attorneys and use findings to support case preparation.
- Assemble and organize case packets for attorney review and approval.
- Coordinate with attorneys and team members to ensure case activities are completed accurately and on schedule.
- Schedule client consultations, meetings, and appointments and maintain accurate calendars.
- Perform administrative and operational tasks as required while taking ownership of assigned responsibilities.
- Use tools such as MyCase, Docketwise, Elevate, Gmail, Google Calendar, and Google Chat to manage communications and case workflows.
- Identify issues, prioritize competing tasks, and contribute to efficient and reliable case management processes.
- At least 1 year of experience as an Immigration Administrative Assistant, Legal Assistant, Immigration Case Assistant, or in a comparable legal, case management, or client service role.
- Fluency in both English and Portuguese is required.
- Previous immigration law experience is highly preferred.
- Strong verbal and written communication skills, with excellent professional phone and written communication etiquette.
- Proven customer service skills and the ability to communicate clearly and respectfully with clients throughout sensitive or complex processes.
- Strong attention to detail and accuracy when handling legal documents, case information, and administrative records.
- Experience with case management and legal administrative support.
- Familiarity with legal document preparation and legal research.
- Strong organizational, time management, multitasking, and prioritization skills.
- Ability to learn new software, systems, and procedures quickly.
- Sound problem-solving and critical-thinking skills, with the ability to assess situations and determine appropriate next steps.
- Adaptable, flexible, accountable, and reliable, with the ability to work independently while collaborating effectively with a wider team.
- Comfortable working a full-time schedule aligned with 9:00 AM–6:00 PM Pacific Time (PT).
- Compensation range of $1,150–$1,220 USD.
