About the role

Accountabilities

    • Event portfolio ownership: Own the conference and event calendar, determining participation, sponsorship levels, event presence, priorities, and timelines across the portfolio.
    • Budget management: Establish, manage, track, and report against annual event budgets, monitoring spending and registrations for individual events and maintaining strong financial discipline.
    • Conference execution: Plan and deliver conferences and field events end to end, including sponsorships, contracts, booth logistics, shipping, drayage, staffing, technology, and on-site execution.
    • Sponsorship management: Identify and scope sponsorship opportunities, negotiate agreements, coordinate contracts and documentation, and manage sponsorship execution from beginning to end.
    • Booth & vendor logistics: Direct booth design and construction vendors, manage shipping and assembly, coordinate AV and technology requirements, and oversee booth staffing and related event activities.
    • Venue & travel coordination: Manage site selection for conferences, roundtables, executive meetings, and other events, presenting recommendations to marketing leadership and coordinating hotels and room assignments for attendees, speakers, and advisors.
    • Vendor partnerships: Manage vendor and agency relationships, including contracts, statements of work, required documentation, signatures, deliverables, and execution. Collaborate with internal counsel when needed.
    • Executive & sales events: Plan and execute executive meetings, sales meetings, roundtables, webinars, client dinners, KOL engagements, and other bespoke events.
    • Post-event reporting: Coordinate lead capture, post-event surveys, debriefs, reporting, follow-up actions, and the organization of event assets and materials.
    • Cross-functional coordination: Partner with sales, executive leadership, product, clinical, operations, and marketing stakeholders to ensure events are aligned, prepared, and commercially relevant.
    • Project management: Track event projects, deadlines, assets, vendors, and deliverables using tools such as ClickUp and SharePoint while keeping documentation current and accessible.
    • Brand & organizational standards: Maintain strong knowledge of products and services and represent organizational values, customer service standards, policies, and professional expectations throughout all event activities.
    • Requirements

      • Experience: At least 6 years of professional experience in conference and event management, field marketing, sponsorship management, or a closely related discipline, with demonstrated ownership of event budgets.
      • Education: Bachelor’s degree required, or an equivalent combination of education and professional experience.
      • End-to-end event expertise: Proven track record planning and executing conferences and field events across budgeting, sponsorships, booth logistics, vendor coordination, and on-site delivery.
      • Contract & vendor management: Demonstrated experience negotiating and managing sponsorship and vendor contracts, including working with agencies, booth partners, and other external providers.
      • Executive events: Experience organizing executive-level meetings, large group events, conferences, and customer-facing experiences.
      • Market & industry experience: Experience in B2B market research is required; SaaS, healthcare, or cardiology/medical device experience is strongly preferred.
      • RFP expertise: Demonstrated experience managing request-for-proposal processes and evaluating event or vendor options.
      • Marketing production: Experience producing executive conferences and supporting digital, print, multimedia, video, and other event-related promotional materials.
      • Technology: Familiarity with project and team management platforms such as ClickUp, Smartsheet, Monday, Asana, Microsoft Project, or Salesforce; proficiency with Microsoft Office, DocuSign, Slack, and Microsoft Teams is a strong plus.
      • Sales programs: Experience with sales incentive programs is beneficial.
      • Public relations: Professional public relations experience is required.
      • Leadership & influence: Strong management and relationship-building skills, particularly when managing vendor partnerships and booth partners.
      • Organization: Exceptional organizational and time-management skills, with the ability to manage multiple events, budgets, stakeholders, and deadlines simultaneously.
      • Communication: Excellent interpersonal and communication skills, including the ability to influence and collaborate with stakeholders at all levels, including executive leadership and sales teams.
      • Adaptability: Comfortable working independently, managing ambiguity, solving problems quickly, and moving between strategic planning and detailed event logistics.
      • Certification: A project management or events certification such as CMP or PMP is a plus.
      • Remote readiness: Must maintain a dedicated and private home office, reliable high-speed internet, and professional working conditions suitable for remote collaboration.
      • Location & travel: Must reside and work within the contiguous United States, be legally authorized to work in the U.S., and be available for up to 25% domestic travel, with potential future international travel, for conferences, trade shows, and customer meetings.
      • Part-time commitment: This is a part-time position targeting approximately 20 hours per week.
