Executive Assistant to CEO (1-Year Parental Leave Cover)

Location
While our company operates exclusively on a remote basis, you must reside and have the legal right to work in one of the following countries: the United Kingdom, Latvia, or Spain.
This is a temporary, parental leave coverage position for a duration of 1 year. Please note that we do not engage on a B2B or contractor basis.
About the Role
We are looking for a talented and experienced Executive Assistant to the CEO. You will be part of the team supporting our CEO and Senior Executive team.
What You Will Do
- Own and proactively manage the CEO’s calendar, anticipating needs, resolving conflicts, and ensuring time is spent on the highest-priority topics. This includes planning the business cadence for the year and coordinating with the Board members.
- Schedule and coordinate meetings for the senior executive team, including recurring forums, ad hoc working sessions, and time-sensitive stakeholder requests.
- Take full ownership of CEO and executive travel logistics, planning ahead, managing changes in real time, and ensuring all details are handled from start to finish.
- Plan and execute logistics for the company as well as regular leadership / team offsites, including booking venues, coordinating vendors, finalizing agendas, and supporting onsite.
- Act as a proactive partner to the CEO by flagging gaps, anticipating bottlenecks, and stepping in to keep executive operations running smoothly.
- Support some of the company’s internal communication where relevant (eg company townhalls, etc)
- Report directly to the CEO and work closely with the senior leadership team.
- Success in this role means nothing slips through the cracks. Calendars are predictable, meetings are well- structured, travel runs smoothly.
What You Must Have
- Experience supporting a CEO or C-level executive in a tech or high-growth company
- Demonstrated ability to plan and manage travel, including flights, accommodation, and transport
- Experience coordinating leadership team meetings, including owning agendas, note-taking, and action tracking
- Strong written communication skills, with the ability to clearly document and summarize decisions and next steps
- Ability to work independently, anticipate needs, and manage changing priorities without constant direction
- Experience working closely with senior leaders in a fast-paced, high-responsibility environment, with evolving priorities and limited structure
- Sound judgment when handling confidential information and navigating sensitive topics

- Familiarity with company-wide event planning, such as offsites or all-hands meetings
- Experience improving or building administrative processes that increased efficiency or reduced friction
