About the role

Role Overview We are looking for a highly entrepreneurial, assertive Executive/Personal Assistant to act as the central nervous system for two founders. You are the gatekeeper and the "finisher" who ensures nothing drops between the cracks of our consulting business or personal lives. This is a role for a proactive problem-solver who thrives in low-structure environments.

Key Responsibilities

  • Business Operations: Manage complex calendars and inboxes; own task tracking and documentation in Notion and Google Drive.
  • Recruiting & Vendor Management: Lead the end-to-end hiring of contractors on Upwork; vet candidates, negotiate rates, and manage deliverables.
  • Project Management: Drive small-to-medium projects from A-Z; flag risks before they become blockers.
  • Financial Coordination: Act as the liaison for bookkeeping (Zoho) and personal budgeting (YNAB) contractors; perform quality checks on categorization and deadlines.
  • Personal Logistics: Complete "Life Admin" including household staff coordination, travel itineraries, grocery/supply ordering, and vendor research.

Qualifications

  • 3–4+ years supporting founders in startups or high-growth agencies.
  • Assertive Communication: Ability to push back on founders and ask clarifying questions to prevent rework.
  • High discretion and experience managing both professional and personal "sensitive" data.
  • Proficiency in Notion, Google Workspace, and Upwork.
