About the role
Accountabilities
- Monitor and audit quality metrics, access compliance, and clinical workflow adherence across centralized access, referral, and ambulatory services.
- Analyze access and performance data to identify workflow gaps, scheduling bottlenecks, redundancies, and operational issues before they escalate.
- Apply structured improvement and root-cause analysis techniques, including 5-Why analysis, fishbone diagrams, process mapping, and other appropriate methodologies.
- Define and maintain access governance, including standardized processes, decision rights, documentation structures, and operating standards across multiple teams.
- Evaluate current-state workflows and design future-state processes that reduce wait times, improve access, increase consistency, and enhance patient and customer satisfaction.
- Lead access improvement initiatives, process improvement meetings, kaizen events, workflow redesign sessions, and related implementation activities.
- Facilitate cross-functional learning and training sessions covering standardized access workflows, governance requirements, process changes, and best practices.
- Maintain standard work documentation, access playbooks, and workflow resources as additional clinics and departments transition to centralized operations.
- Prepare clear and actionable access, quality, compliance, and process audit reports for leadership and support data-driven operational decisions.
- Partner with access improvement and process improvement colleagues to coordinate governance, training, and quality initiatives across centralized operations.
- Use Epic Cadence knowledge to inform process analysis and recommendations without performing hands-on template builds, system configuration, or traditional Access Analyst responsibilities.
- Collaborate with stakeholders across departments and locations to implement sustainable improvements and strengthen consistency in access operations.
- Bachelor’s degree in healthcare administration, business, quality management, industrial engineering, or a related field, or an equivalent combination of education, training, and experience.
- At least 5 years of experience in performance improvement or a closely related quality/process improvement discipline.
- Strong working knowledge of healthcare access, scheduling systems, and ambulatory workflow processes.
- Working understanding of Epic Cadence template design, decision trees, master scheduling, provider capacity, and slot utilization, comparable to an Epic Cadence Analyst’s technical background.
- Ability to use Epic Cadence knowledge to evaluate and inform access and workflow decisions; hands-on Epic build or system configuration experience is not required.
- Strong analytical, problem-solving, and critical-thinking skills, with the ability to investigate complex operational issues and identify sustainable solutions.
- Experience conducting quality audits and applying structured process improvement and root-cause analysis methodologies.
- Excellent written and verbal communication skills, including the ability to create concise, meaningful reports and present findings to leadership.
- Ability to collaborate effectively across functional areas, departments, organizations, and diverse stakeholder groups.
- Strong organizational skills and the ability to manage multiple priorities while driving process improvements to completion.
- Lean or process improvement training or certification is preferred.
- Experience in ambulatory or centralized access operations, particularly across multiple clinics or departments, is preferred.
- Experience with process mapping or quality management software is advantageous.
- Experience defining and maintaining access governance and standards across multiple teams is preferred.
- Experience designing and delivering cross-functional training or facilitating improvement initiatives such as kaizen events and workflow redesign sessions is a plus.
- Epic Cadence end-user, reporting, or training certification, or equivalent Epic training, is preferred.
- Lean/Six Sigma Yellow or Green Belt or a healthcare quality certification such as CPHQ is also preferred.
- Ability to work effectively in an office and hospital environment, with extensive computer use, occasional meetings outside the primary work area, and travel between clinic sites as required.
