About the role
Accountabilities:
- Project planning and execution: Partner with Project Managers and Senior Project Managers to support basic project planning, execution, timelines, and deliverables while developing the ability to build actionable project plans.
- Client and team coordination: Develop an understanding of client expectations and engagement guidelines, helping ensure projects remain aligned with agreed requirements and objectives.
- Meeting management: Schedule and participate in internal kickoffs, reviews, status meetings, and regroup sessions; capture meeting notes, decisions, action items, and next steps.
- Workflow management: Understand agency workflows and the responsibilities of different team members, review action orders for clarity, and help ensure projects move efficiently through each stage.
- Quality assurance: Lead online project routing and monitor deliverables at each stage to help maintain quality, accuracy, and adherence to established processes.
- Project tracking: Maintain daily project status information, monitor delivery dates, identify potential issues, and proactively communicate changes or risks.
- Cross-functional communication: Maintain clear, timely, and positive communication across multiple departments through email, messaging, phone, and meetings.
- Problem solving: Advocate for project teams while identifying alternative solutions and taking proactive steps to keep work on track.
- Professional development: Build toward independently leading a set of accounts, contribute to Statement of Work reviews, research industry and operational practices, and identify and share opportunities for process improvement.
- Collaboration: Support a team-oriented environment by building strong working relationships across functions and contributing to successful client outcomes.
- Education: Bachelor's degree required.
- Experience: 0–2 years of experience in project management, project coordination, or a related coordinator role is preferred.
- Healthcare and agency interest: Interest in learning project management within a healthcare advertising or agency environment; exposure to healthcare, pharmaceutical, life sciences, advertising, or marketing is beneficial.
- Technical skills: Proficiency with Microsoft Office and the ability to learn project management and workflow tools quickly.
- Organization: Strong time-management skills, attention to detail, and the ability to manage multiple priorities and deadlines simultaneously.
- Communication: Proactive, positive, and professional communication skills, with the ability to collaborate effectively with colleagues across different departments.
- Learning mindset: Eagerness to learn agency project management processes, client expectations, industry practices, and new operational approaches.
- Problem solving: Ability to identify potential issues, propose practical alternatives, and help keep projects moving forward.
- Teamwork: Comfortable working collaboratively in a fast-paced, multi-disciplinary environment.
- Flexibility: Willingness to travel domestically and/or internationally, including occasional overnight stays, when required.
- Base salary: $53,500–$66,900 USD, with compensation determined by factors such as skills, experience, training, certifications, and business needs.
