About the role
Accountabilities:
- Receive, organize, and review trainer and training organization applications, activity reports, qualifications, and quality-management documentation for completeness and accuracy.
- Identify missing, outdated, unclear, or inconsistent information and coordinate timely follow-up using established templates, procedures, and guidance.
- Track applications, quality submissions, partner responses, training activity, learner feedback, corrective actions, required updates, outcomes, reports, and status information.
- Communicate requirements, deadlines, progress updates, and next steps clearly with trainers, training organizations, evaluators, and internal stakeholders.
- Prepare intake summaries and coordinate documentation, scheduling, and communications supporting evaluations, approvals, renewals, and reapprovals.
- Maintain accurate, confidential, and audit-ready records within CRM and other program systems.
- Support readiness activities for new or updated products, course content, and job-practice changes by coordinating materials, communications, updates, and progress tracking.
- Escalate technical questions, delays, quality concerns, and other non-routine issues to the appropriate evaluator or program owner.
- Identify opportunities for process improvement, cross-train across assigned program areas, provide operational coverage when needed, and follow applicable privacy, confidentiality, information-security, and record-retention requirements.
- Associate degree in business administration, operations, communications, education, quality management, compliance, or a related field, or an equivalent combination of education and relevant experience.
- At least 1 year of relevant experience, or an equivalent combination of education, training, and demonstrated skills.
- Experience organizing and reviewing applications, reports, records, or supporting documentation for completeness.
- Ability to consistently follow established procedures, templates, checklists, workflows, and escalation paths.
- Strong organizational and time-management skills, with the ability to manage multiple deadlines, priorities, and follow-up activities.
- Excellent written and verbal communication skills, with a professional approach to supporting internal and external stakeholders.
- Ability to maintain accurate and confidential records, exercise sound judgment, and escalate non-routine matters appropriately.
- Working knowledge of Microsoft Office, Teams, SharePoint, or comparable business tools, with the ability to quickly learn CRM, workflow, reporting, and document-management systems.
- Strong collaboration, adaptability, attention to detail, follow-through, cultural awareness, and continuous-improvement mindset.
- A bachelor’s degree in business administration, operations, communications, education, quality management, compliance, or a related field is preferred.
- Two or more years of experience in program coordination, training operations, quality assurance, compliance, partner support, or a related field is preferred.
- Experience supporting training programs, professional associations, partner operations, or global business activities is an advantage.
- Familiarity with quality-management principles, documentation practices, CRM systems, workflow tools, reporting, or dashboards is beneficial.
- Experience working with stakeholders across different countries and cultures is a plus.
- Periodic onsite attendance may be required based on business needs, and occasional travel may be necessary for events, meetings, training, or other activities supporting the role.
- Competitive annual salary range of $45,120–$63,189 USD, depending on qualifications, experience, and other applicable factors.
